Hamofa processes your personal data because you use our services and/or because you provide this data to us. Below is an overview of the personal data we process:

Special and/or sensitive personal data we process
Our website and/or service does not intend to collect data about website visitors under the age of 16, unless they have permission from parents or guardians. However, we cannot verify whether a visitor is over 16. We therefore recommend that parents be involved in their children’s online activities to prevent data being collected without parental consent. Hamofa processes your personal data for the following purposes:

Ortto
Hamofa uses Ortto to automatically process data collected through contact forms on the website. When someone submits a form, the data is automatically sent to Ortto, where it is included in a marketing and communication platform. Based on pre-defined rules, Ortto may take automatic decisions such as sending follow-up emails, adding contacts to campaigns, or assigning lead scores. These automated processes may affect how and when someone is contacted.
Other
Other limited forms of automated decision-making may occur within Hamofa, such as automatically sending confirmation emails, system notifications, or standard responses based on pre-configured rules. These processes are generally administrative and have minimal consequences, but are executed systematically without human involvement.

How long we retain personal data
Hamofa does not store your personal data longer than is strictly necessary to achieve the purposes for which your data is collected. We apply the following retention periods for the following (categories of) personal data: #retention_period
Contact details
Personal data entered via our contact forms – such as your name, email address, and phone number – is retained for up to two years. This allows us to handle your request and follow up if necessary. If no further interaction occurs during this period, your data will be automatically deleted.
Customer and invoicing data
Data required for customer management and invoicing, including name, address, VAT number, and payment info, is retained for seven years as required by tax and accounting legislation.
Job application data
If you apply for a job with us, your application data (CV, motivation letter) is retained for up to four weeks after the application process. With your explicit consent, we may retain it for up to one year to contact you for future opportunities.
Newsletter subscriptions and marketing preferences
If you subscribe to our newsletter, we retain your data as long as you remain subscribed. After unsubscribing, your data will be deleted or anonymized within one month.
Technical website visit data

To verify your identity, please attach a copy of your ID with your request (with photo, MRZ, passport number, and BSN blacked out for privacy). We will respond within four weeks.

Hamofa takes the protection of your data seriously and implements appropriate measures to prevent misuse, loss, unauthorized access, unwanted disclosure, and unauthorized modification.
